 Post subject: Cancellation Policy for Groups?

We have a recurring problem with last-minute no shows during our school group days. In some cases there is no notification at all from the participants. Of course, we are still committed to be open to the public for walk-in traffic on school days, but it is frustrating nonetheless to be geared up for a full days program and have a large group go MIA.I have been thinking about requiring a nominal deposit with each reservation. It doesn't necessarily solve the MIA problem, but it would at least put a few dollars in the fare box to provide some revenue in return for our volunteer and paid staff efforts at staffing for the no-shows.How does your museum or railway handle group bookings? I would recommend a non-refundable deposit equal to a certain percentage of the cost. You may want to canvas some restaurants in your area to see how they handle group catering reservations. Event planners are probably more familiar with non-refundable deposits at restaurants and hotels, but there is no reason a tourist railroad should not be compensated for its expenses and inconvenience relating to last-minute group cancellations. Especially if it involves the labor cost of adding more cars to the usual consist. -- Ray

I always found cancellations to be quite the exception, but Mr Reter's points are right on the money. We usually discounted 10% for group sales, and a deposit in a like amount was required. I can't recall anyone ever complaining about it.
